Realtics Inc. ("Realtics," "we," "us," or "our") is committed to maintaining high standards of confidentiality with respect to the Personal Information provided to us. This Privacy Policy ("Policy") governs the collection, use, and disclosure of Personal Information from and about individuals who use our platform, website, and services (collectively, the "Service").

This Policy aligns with the Personal Information Protection and Electronic Documents Act (PIPEDA) and the privacy standards mandated by the Toronto Regional Real Estate Board (TRREB).

• "Personal Information" means any information, recorded in any form, about an identifiable individual, or an individual whose identity may be inferred or determined from the information, alone or in combination with other information.
• "User" means a real estate professional or other individual registered to use the Service.
• "Client Data" means Personal Information about a User's client (e.g., name, property address) entered into the Service by the User.

3. Collection of Personal Information

We collect Personal Information necessary to fulfill our mandate of providing advanced real estate analytics and documentation services. This includes:

• Identity Data: Name, professional title, brokerage affiliation, RECO registration details.
• Contact Data: Email address, phone number, business address.
• Client Data: Names and property addresses of your clients, entered for the purpose of generating forms or presentations.
• Financial Data: Payment card details and billing address (processed securely by our payment provider, Stripe).

3.2 Automated Collection

• Technical Data: IP address, browser type, device information, operating system.
• Usage Data: Pages visited, features used, time spent on the platform, and interactions with AI tools.
• Cookies: We use cookies to maintain your session, remember preferences, and analyze traffic.

4. Use of Personal Information

We use Personal Information solely for the following purposes:

• Service Delivery: To authenticate Users, generate AI content, populate real estate forms, and provide listing analysis.
• Communication: To send administrative notices, security alerts, and support responses.
• Service Improvement: To analyze usage patterns and improve our platform features and user interface.
• Legal Compliance: To comply with PIPEDA, TRREB rules, and other legal obligations.
• Security: To detect, prevent, and address fraud, security breaches, or technical issues.

4A. Third-Party Service Integrations (Google)

Realtics offers optional integration with Google services, including Gmail and Google Calendar, to enhance the productivity of real estate professionals using our platform.

Google Gmail Integration

When you voluntarily connect your Google account to Realtics, we request access to your Gmail data for the following specific purposes:

• Sending Emails: To send emails to your real estate clients and contacts directly from the Realtics CRM dashboard on your behalf.
• Reading Emails: To read your email communication history related to your clients for logging and displaying within your CRM contact timeline.

Google Calendar Integration

• Reading Calendar Events: To display your existing appointments within the Realtics dashboard.
• Creating & Managing Events: To create new calendar events on your behalf directly from the Realtics CRM.

5. Disclosure of Personal Information

We do not sell, trade, or rent Personal Information to third parties. We disclose Personal Information only in the following circumstances:

• Service Providers: We transfer data to trusted third-party service providers who process it on our behalf (e.g., OpenAI for AI processing, Microsoft Azure for hosting, Stripe for payments). Important: Data obtained through Google APIs (Gmail, Google Calendar) is never transferred to OpenAI or any AI processing service, and is processed solely within Realtics' own infrastructure to deliver the requested functionality.
• Legal Requirements: We may disclose information if required by law, court order, or government regulation.
• Business Transfers: In the event of a merger, acquisition, or sale of assets, Personal Information may be transferred as a business asset.

As a provider of services utilizing MLS Data, we adhere to strict privacy obligations:

We implement industry-standard security measures, including encryption in transit (TLS 1.2+) and at rest (AES-256), access controls, and regular security audits.

Data Residency: Your Personal Information may be stored and processed in Canada and the United States. By using the Service, you consent to the transfer of information to countries outside of your country of residence.

8. Your Rights (PIPEDA)

Under PIPEDA, you have the following rights:

• Access: You have the right to request access to the Personal Information we hold about you.
• Correction: You have the right to request correction of inaccurate or incomplete information.
• Withdrawal of Consent: You may withdraw your consent to our collection and use of your Personal Information at any time.
• Challenging Compliance: You have the right to challenge our compliance with these principles.

9. Consent Agreement

When you provide Realtics with Personal Information, you explicitly consent and agree to:
